Your information, kept confidential.
This policy explains what personal information CV Profs collects through this website, why we collect it, who we share it with and the rights you have under South Africa’s Protection of Personal Information Act (POPIA).
1. Who we are
CV Profs (Pty) Ltd (“CV Profs”, “we”, “us”) is a professional writing and branding company based in Cape Town, South Africa. We are the responsible party for the personal information described in this policy. You can contact us about privacy at info@cvprofs.co.za.
2. Confidentiality
Your personal information, including your CV and career history, is treated as strictly confidential. We do not share or distribute it without your permission, except as described in this policy.
3. What we collect
- Contact form: your name, surname, contact number, email address and message.
- Free quote form: the above, plus the service you need, your career level, your LinkedIn profile link and any CV files you attach.
- Free CV assessment: your name, email address, contact number, career level, industry, main challenge, target role and the CV you upload.
- When you work with us: the information you share so that we can write your documents, such as employment history, qualifications and achievements.
- Automatically: standard website analytics through Google Tag Manager, which may use cookies, and an anonymised (one-way hashed) version of your IP address and email that we use only to prevent spam and apply daily limits on free tools.
4. Why we use it
- To reply to your enquiry and prepare your quote.
- To produce your free CV assessment and email it to you.
- To deliver the services you engage us for, and to keep your CV on record so we can update it for you in future.
- To protect our forms from spam and abuse.
- To understand, in aggregate, how visitors use our website so we can improve it.
We only process your information for these purposes, with your consent or where it is necessary to provide the service you asked for.
5. AI-assisted CV assessment
Our free CV assessment uses an artificial intelligence service (Google Gemini) to analyse the text of the CV you upload and generate your evaluation. Your CV text is sent to that provider solely to create the assessment. A member of our team may also review the result. If you prefer not to use the AI assessment, you can request a quote or contact us instead, and a strategist will review your CV personally.
6. Who we share it with
We never sell or rent your personal information. We share it only with service providers who help us run our business, under confidentiality obligations, and only as far as needed:
- our website and email hosting provider, which stores the site and delivers form emails;
- Google, for the AI CV assessment and for website analytics;
- authorities, where the law requires us to.
Some of these providers may store or process information on servers outside South Africa. Where that happens, we rely on providers that are subject to data protection laws or agreements offering protection comparable to POPIA.
7. How long we keep it
- Enquiry and quote emails: for as long as needed to respond and manage our relationship with you.
- CVs of clients: kept on record so we can update your CV whenever you need it, unless you ask us to delete it.
- Anonymised spam-protection data: deleted automatically within three days.
8. Security
We use reasonable technical and organisational measures to protect your information, including encrypted connections (HTTPS), restricted access to uploaded files, anonymised security logs and protection against automated form abuse. No online system is completely secure, so please contact us immediately if you believe your information has been compromised.
9. Cookies
Our analytics tools may set cookies to measure visits in aggregate. Cookies do not store your form details. You can block or delete cookies in your browser settings; the website will still work.
10. Your rights
Under POPIA you may ask us to confirm whether we hold your personal information, to give you a copy, to correct or update it, or to delete it, and you may object to our processing it. Email info@cvprofs.co.za and we will respond within a reasonable time. If you are not satisfied, you may lodge a complaint with the Information Regulator of South Africa at inforegulator.org.za.
11. Changes to this policy
We may update this policy to reflect new features, changes to our services or feedback from clients. The latest version will always be published on this page with its updated date.
